What you can report
- Bribery, corruption, fraud, theft, money laundering or misuse of company, grant, donor or investor funds.
- Conflicts of interest, procurement irregularities or falsified records.
- Breaches of law, of our Ethical Guidelines or of our environmental, social, health and safety commitments.
- Sexual exploitation, abuse or harassment, discrimination or bullying.
- Retaliation against anyone who has raised a concern, and any attempt to conceal the above.
How to report
- Primary channel: report@mpishienergy.net. Messages are accessible only to the Managing Director and, where a report concerns the Managing Director, to the Board-designated contact.
- Alternative channel: speak or write to the Managing Director or a Board-designated contact, marked “Private and Confidential”, at 31 Peri Peri Street, Salama Park, Lusaka, Zambia.
- You may report anonymously. Providing a way to contact you, even an anonymous email address, helps us ask follow-up questions.
- Include what happened, when and where, who was involved, and any documents or evidence you have. You do not need proof; reasonable suspicion is enough.
What happens next
- We acknowledge receipt within 5 working days where we have a way to contact you.
- The matter is logged and screened for urgency, credibility and impact, then assigned to a reviewer independent of the matter: management, the Board or an external adviser.
- Where warranted we carry out a proportionate investigation, take corrective action and, where required, notify funders or refer the matter to the authorities.
- We tell you, as far as confidentiality and the law allow, that the matter has been addressed.
Protection for reporters
- Retaliation, intimidation, discrimination or disadvantage against a good-faith reporter, or anyone assisting a review, is prohibited and will itself be treated as misconduct.
- Protection applies even if a concern turns out to be mistaken, provided it was raised honestly.
- Knowingly false or malicious reports are prohibited and may lead to disciplinary action.
- Nothing in this Policy prevents anyone from reporting to a regulator, law-enforcement body or other competent authority.
Fair treatment of people named in a report
- People who are the subject of a report are treated fairly, informed of allegations at an appropriate stage and given the opportunity to respond.
- No conclusion is reached until the review is complete.
Records and reporting
- Reports, actions taken, outcomes and follow-up measures are kept securely with restricted access.
- Anonymised statistics on reports and outcomes are reviewed by the Board and shared with lenders as our financing agreements require.
